Invoices to GST registers, step by step

For accountants, CAs and businesses who need purchase and sales registers, GSTR-1 and GSTR-3B working sheets, or Tally vouchers from a pile of invoices.

⚠ Always verify before you file. BillSheet's GST registers, GSTR-1 tables, GSTR-3B working sheet and Tally files are prepared by AI and can contain mistakes, even when no check is flagged. Check every sheet against the original invoices before you file GSTR-1 or GSTR-3B, claim ITC, or post entries in your books. BillSheet does not file returns and is not tax advice.

Pick the register you need

Purchase

For: Bills your client received from suppliers.

You get: An item-wise Purchase Register with ITC columns, plus invoice, rate-wise, supplier-wise and HSN summaries.

Sales

For: Invoices your client issued to customers.

You get: A Sales Register plus GSTR-1 tables (B2B, B2CL, B2CS, credit/debit notes, HSN summary, documents issued).

Purchase + Sales (GSTR-3B)

For: A month's purchases and sales together. Needs the client's GSTIN.

You get: Both registers and a GSTR-3B working sheet: output tax, eligible ITC and net tax payable.

How it works

  1. 1

Choose GST mode and the register

Open Scan bills and pick 🧾 GST invoices. Then choose the register: Purchase, Sales or Purchase + Sales (GSTR-3B).

Enter the Client GSTIN, the business whose books these are. It's optional for one register and required for Purchase + Sales, because BillSheet uses it to tell local supplies (CGST + SGST) from inter-state ones (IGST). Add a Period such as "Oct 2026" if you want it in the sheet title and file name.

  2. 2

    Upload the invoices

Add photos, screenshots, PDFs or a whole folder. A PDF with several invoices is fine: each invoice becomes its own bill. In Purchase + Sales there are two upload areas, so drop purchase bills in one and sales bills in the other. You can move a file between them before scanning.

If the same file is added twice, BillSheet asks before quoting whether to keep one copy or all copies. A skipped copy is not scanned or charged.

  3. 3

Check the price, pay and scan

Click Check price. BillSheet reads each file quickly and shows its invoices, rows and price before you pay. Pay for the scan (free scans are used first), and the scan starts. You pay for scanning only. Downloads are always free.

  4. 4

    Review the registers

The results page shows the register(s) exactly as they will appear in Excel. Each bill is checked automatically: line maths, tax totals, GSTIN format and check digit, CGST/SGST against IGST for the place of supply, dates, and more.

    • Needs review marks a bill with an error (red) or a warning (amber). Open it to see what's wrong.
    • ✏️ Edit on a bill's first line opens the invoice: header, item lines and totals. Correct anything the scan misread, and the registers, checks and exports update straight away.
    • Accept a flag you've checked and agree with, and add a note if you like. It moves to the Review Report.
    • ITC (purchase): mark a line as eligible, ineligible or blocked under section 17(5). GSTR-3B uses your choice.
    • In Purchase + Sales, use the toggle to move a bill between the Purchase and Sales registers if it landed on the wrong side.

If the same invoice turns up twice in one job (for example a photo and a PDF of one bill), BillSheet asks which copy to keep. A skipped copy's scan cost goes back to your balance.

  5. 5

    Download the Excel workbook

One click downloads a formatted workbook. Depending on the register, it contains:

    • Purchase Register and/or Sales Register: one row per item line, with totals.
    • Summaries: invoice-wise, rate-wise, supplier-wise and HSN (purchases).
    • GSTR-1 tables: B2B, B2CL, B2CS, credit/debit notes, HSN summary and documents issued (sales).
    • GSTR-3B Working (Purchase + Sales): formulas you can follow back to the registers.
    • Review Report: every open or accepted flag, with your notes.
    • Skipped Duplicates: copies left out, and which copy was kept.
  6. 6

    Optional: export to Tally (beta)

If the client keeps books in TallyPrime, set them up once in Tally settings: the company name exactly as in Tally, GSTIN, state and financial year. Then upload the client's ledgers and stock items exported from TallyPrime.

On the results page, Download for Tally lets you match each supplier, tax and purchase/sales account to a Tally ledger. BillSheet remembers the matches for next time. You get a ZIP with the new masters, the vouchers and a report. In TallyPrime, import the masters first, then the vouchers (Alt+O → Import).

Tally export is in beta. Try it on a test company first, and check the vouchers and GST reports in Tally before relying on them.
